How To Open a Speech or Presentation

At a recent corporate storytelling workshop for Microsoft, I was asked a question that I hear frequently: “How do I open my speech?” Several others in the room agreed that the first two or three minutes of a speech are often the most awkward.

In this article, I’m going to share what has worked for me and helped me build a lucrative speaking business. I’ll also share the results of my research into what transforms a good speech into a Dynamite Speech.

How To Open a Speech or Presentation

I used to have a lot of anxiety before I gave a speech. I knew most of what I was going to say – not word for word – but in general. I knew what stories I was going to tell and what quotes I was going to use, and the overall sequence of things. What freaked me out was what I was going to say first.

I knew that telling a joke was out of the question because I can’t remember jokes. Plus, any rule that is supposed to work for everyone – such as “always open with a joke” – is obviously a stupid rule! If there is one thing that I’ve learned from my own experience as well as from other speakers, it’s that there is no ONE single way that works for everyone.

One day I was at the theater, sitting in the audience waiting for the curtain to go, and I had a revelation. I remembered all of the plays I had acted in and how the first line of each play was specifically chosen to set the stage for everything that came after it.

That got me thinking about the most powerful speeches I’d ever heard. They all started out with something meaningful. They didn’t start with the speaker thanking anybody or talking about how wonderful it was to be in Buffalo, New York in January (because it’s cold as heck). The first words out of their mouths were meaningful. They said something provocative or asked a provocative question.

I also realized that while I’d seen people start out with loud rock or disco music as they ran up the aisle from the back, for me, the most powerful openings were simple and direct.

Here are a few options for opening your speech, taken from my Dynamite Speech System.

Opening #1 – The Provocative Statement or Question Opening

Walk out to the center of the stage or room. Stand still and get centered. Let the silence sit there for a few seconds to build anticipation. Then, make a provocative statement such as: If you want your content to stick, emotion is the fast lane to the brain.

Another option is to ask a provocative question such as: When you give a speech, do you talk too much?

Notice how each of those statements is a bit contrarian. I love to combine two elements that are logical opposites. They make you think. The idea that you will get content to stick to the brain with emotion is illogical. The idea that you can talk too much while giving a speech is provocative.

What can you ask or say as your opening that will set up one of the main points of your speech? After you say it, pause. Let the statement or question hang there in space. Then move on.

Opening #2 – The Quote Opening

Find a provocative quote that seamlessly introduces your main point or premise.

Opening #3 – The Story Opening

Start by telling a story. Stories are an immediate attention grabber and activate your listeners’ imagination. Make sure you choose the right story to open with. It can’t be too dramatic or hilarious. Your Crucible and Imbroglio stories need to go in the middle of your speech. Choose a story that makes one of your main or the main point of your speech. You may begin the story up front, take it through to Step 4 – Encounter the Obstacle, and then stop. You can then close your speech with the resolution of the story, beginning with Step 5 – Overcome the Obstacle. Another option is to tell the entire story, make the point and then move on.

Opening #4 – The Rapport Builder Opening

If you’ve done your homework and used a pre-program questionnaire to discover the issues your audience is facing, you can open with a few statements that let them know that you understand their pain. Three or four sentences that address their current situation are all that you need to create a bond and let them know you’re not going to give a generic rah-rah speech. Perhaps you can mention the name of someone in the audience who you spoke to on the phone before the meeting or conference. Then, give a speech that customizes your concepts and solutions to their needs and issues.

The main thing I want you to consider for your opening is to start strong. Know exactly what you’re going to say. Don’t waste time with chitchat about the weather or the city you’re in. Get right to it. Surprise them. Shock them. Make them think.

I also don’t believe that it’s necessary or effective to thank the meeting planner up front. If you’re going to do that at all, do it at the end.

What has worked for me is to memorize the first three or four sentences of my speech and to use the same opening over and over. Knowing exactly what I’m going to say and precisely how I’m going to deliver those lines, gives me confidence.

It helps that the words I say are part of my branding. If you’ve ever heard me speak, you know that there are a number of power phrases – provocative statements if you will – that are consistent from speech to speech and audience to audience. I don’t make up something new every time and I don’t mess with what works.

If you’ve been asked to deliver a sixty-minute keynote speech, every minute counts. The first sixty seconds is critical to how your audience perceives you. My advice is to write and memorize your opening. Deliver it the same way time after time. Tweak it when necessary until you have it down to the precise statement that creates the effect you’re looking for.

Open strong and close with confidence.

Cantonese Opera

Would I want to be a Cantonese opera singer? I attended a workshop at the Hong Kong Heritage Museum and found the answer to that question. I learned there are 350 kinds of Chinese opera- each based on a different Chinese dialect. Cantonese opera is the genre most common in Hong Kong. The young woman who was our opera workshop instructor had been studying opera for five years. She told us she was only a beginner. It takes more than twenty years to become a really good performer. This explains why many ‘opera stars’ are over the age of fifty. Our guide taught us how to distinguish between male and female, and comic and tragic opera characters by their dress, make-up, voices and body movements.

After she had introduced us to the plot line of an opera we tip toed into a theatre where an opera was in progress and watched it for about twenty minutes. The female character sang in a falsetto voice all the time. The singers didn’t always seem to know where the tune of their song was leading them and the audience was talking throughout the performance. Later our guide told us there are no written or designated notes in Chinese opera scripts. Actors are provided with only a set of lyrics. The singers make up the tune as they go along. The tradition of female characters using a falsetto voice is an ancient tradition stemming from a time when only male performers were allowed on the stage. They used a falsetto voice to sound feminine. A Chinese opera is apparently performed as a tribute to the gods. Since the deities are the intended audience, the human audience can talk and even eat or play games like mahjong or chess while the opera is going on without insulting the performers.

The second part of our tour took us through a museum exhibit where we saw opera costumes. They are extremely ornate and very expensive to create. Our guide explained the thick face paint worn by characters. Evil villains wear mostly white make-up, while good heroes have predominantly red faces. The museum had a computer program set up that allowed you to put on the make-up and costume of a classic opera character. You chose a character, positioned your face on the computer screen and then waited for your face to appear in the costume and make-up of that character. I chose a Warrior Woman. I thought I looked quite stunning in my Cantonese opera persona and even took a photo of myself.

Although I thought I looked quite powerful and exotic in my costume I found out several things about Chinese opera singers during the workshop that would make me think twice about becoming one. Cantonese operas are between four and five hours long. Actors must memorize thousands of lines. Opera costumes weigh many pounds and female actresses wear narrow toed, high-heeled shoes. Most performances are held outside in the humid heat. Although it was fun to learn more about Cantonese opera and even see how I would look as a Chinese opera singer, I don’t think I’d like to be one.

Lend Me a Tenor on Broadway (Theater Review)

Every so often you’ll see a show like Lend Me a Tenor and hope it finds its audience because the comedy feels so close to the heart of Broadway; because it isn’t an interesting theatrical curiosity; it’s what the street was paved for. Taking a page (if not several) from the Kaufman and Hart playbook, writer Ken Ludwig follows the course of a star’s recovery, not in Beverly Hills or Palm Beach, but in the sticks (here, an opera singer suffers from severe gas and indigestion; in The Man Who Came to Dinner also set in Ohio; you’ll recall Monty Woolley, as a famous author, slips on icy stairs). Watching with comfort food on late-night television or in local theater with your favorite hams this setup is so routine that, here, it takes a few minutes to register that we’re not being lulled into the familiar. Instead, the production, directed by Stanley Tucci takes off (and it’s up to you to catch up with it).

Part of the pleasure of watching the play is the precision with which the actors invest their character work. Don’t go thinking you’re going to see a new Brando (although it’s so great to see Brooke Adams someone who can play naturalistically as she did in Terrence Malick’s beautiful 1978 film Days of Heaven). Here, you get the feeling that the actors have been choreographed rather than blocked; they’re not letting it all hang out and calling that truth. In this revival, the actors use timed movement; they’re edging up with a chair, straightening a pillow, working parallel across the stage, hiding in closets, slamming doors, and, on one occasion, landing a miles-long scream yet nothing feels mechanical.

From hearing the tapping of a conductor’s baton at the start, all the way to the speed run-through at the end- Lend Me a Tenor has a real playfulness. Call it middle-brow, if you must, but I found this to be a very high-spirited show, entertaining in a way that might recall what it was like to see Kaufman and Hart fresh (Ludwig’s play is soundly constructed, the product of hours and hours of writing plot points on Post-it notes, I’m sure of course, he makes it all seem very easy). As Maggie (Mary Catherine Garrison) spins around on her seat in a baby blue dress and white gloves in the play’s opening moments, she’s setting up a show you’d like to watch with Charlie Chaplin (after he’s come off the set of The Great Dictator, bouncing a balloon globe off his boot). Anthony LaPaglia and Jan Maxwell play the volatile Italian couple, well versed in opera on the stage and in their lives. Tony Shalhoub some of whose dialogue with Justin Bartha sounds like it comes out of a “Who’s on first” routine has no idea how not to look out for number one even though he’s got a body on his hands. Bartha plays the overworked assistant, who happens to be able to sing the lead in Verdi’s Otello, told to cover the foreign tenor and “Stick to him like glue.” Jennifer Laura Thompson wants New York so badly she’d sell body and soul, yet still be at the Met in two days. And Jay Klaitz is the bellhop who really deserves the tip. In a play not much interested in realism, Tucci and his pros substitute style instead.

With the daily challenges posed by economic difficulty and other threats, governments in developing countries are working very hard to ensure that their educational institutions continue to provide a standard of education that can make its citizens at part with the educated people in more economically sound countries. Basement Heaters

Knowing how to set objectives is not exactly rocket science in terms of complexity, but any strategist should know the basic rules of how to formulate and propose objectives. We will see in this article why objectives play such a major role within a company’s planning and strategic activities, how they influence all business processes, and we will review some guidelines of setting objectives.

Rules to Setting Business Goals and Objectives: Why and How to be SMART

The Importance of Setting Objectives

One might wonder why we need to establish objectives in the first place, why not let the company or a specific activity just run smoothly into the future and see where it gets. That would be the case only if we really do not care whether the activity in discussion will be successful or not: but then, to use a popular saying, “if something deserves to be performed, then it deserves to be performed well”. In other words, if we don’t care for the results, we should not proceed with the action at all.

Setting objectives before taking any action is the only right thing to do, for several reasons:

- it gives a target to aim to, therefore all actions and efforts will be focused on attaining the objective instead of being inefficiently used;

- gives participants a sense of direction, a glimpse of where they’re going to;

- motivates the leaders and their teams, since it is quite the custom of establishing some sort of reward once the team successfully completed a project;

- offers the support in evaluating the success of an action or project.

The 5 Rules of Setting Objectives: Be SMART!

I am sure most managers and leaders know what SMART stands for, well, at least when it comes of establishing objectives. However, I have seen some of them who cannot fully explain the five characteristics of a good-established objective – things are somehow blurry and confused in their minds. Since they can’t explain in details what SMART objectives really are, it is highly doubtful that they will always be able to formulate such objectives.

It is still unclear from where the confusion comes: perhaps there are too many sources of information, each of them with a slightly different approach upon what a SMART objective really is; or perhaps most people only briefly “heard” about it and they never get to reach the substance behind the packaging.

Either way, let us try to uncover the meaning of the SMART acronym and see how we can formulate efficient objectives.

SMART illustrates the 5 characteristics of an efficient objective; it stands for Specific – Measurable – Attainable – Relevant – Timely.

1. Be SPECIFIC!

When it comes of business planning, “specific” illustrates a situation that is easily identified and understood. It is usually linked to some mathematical determinant that imprints a specific character to a given action: most common determinants are numbers, ratios and fractions, percentages, frequencies. In this case, being “specific” means being “precise”.

Example: when you tell your team “I need this report in several copies”, you did not provide the team with a specific instruction. It is unclear what the determinant “several” means: for some it can be three, for some can be a hundred. A much better instruction would sound like “I need this report in 5 copies” – your team will know exactly what you expect and will have less chances to fail in delivering the desired result.

2. Be MEASURABLE!

When we say that an objective, a goal, must be measurable, we mean there is a stringent need to have the possibility to measure, to track the action(s) associated with the given objective.

We must set up a distinct system or establish clear procedures of how the actions will be monitored, measured and recorded. If an objective and the actions pertaining to it cannot be quantified, it is most likely that the objective is wrongly formulated and we should reconsider it.

Example: “our business must grow” is an obscure, non-measurable objective. What exactly should we measure in order to find out if the objective was met? But if we change it to “our business must grow in sales volume with 20%”, we’ve got one measurable objective: the measure being the percentage sales rise from present moment to the given moment in the future. We can calculate this very easy, based on the recorded sales figures.

3. Be ATTAINABLE!

Some use the term “achievable” instead of “attainable”, which you will see it is merely a synonym and we should not get stuck in analyzing which one is correct. Both are.

It is understood that each leader will want his company / unit to give outstanding performances; this is the spirit of competition and such thinking is much needed. However, when setting objectives, one should deeply analyze first the factors determining the success or failure of these objectives. Think of your team, of your capacities, of motivation: are they sufficient in order for the objectives to be met? Do you have the means and capabilities to achieve them?

Think it through and be honest and realistic to yourself: are you really capable of attaining the goals you’ve set or are you most likely headed to disappointment? Always set objectives that have a fair chance to be met: of course, they don’t need to be “easily” attained, you’re entitled to set difficult ones as long as they’re realistic and not futile.

Example: you own a newborn movers company and you set the objective of “becoming no. 1 movers within the state”. The problem is you only have 3 trucks available, while all your competitors have 10 and up. Your goal is not attainable; try instead a more realistic one, such as “reaching the Top 5 fastest growing movers company in the state”.

4. Be RELEVANT!

This notion is a little more difficult to be perceived in its full meaning; therefore we will start explaining it by using an example in the first place.

Imagine yourself going to the IT department and telling them they need to increase the profit to revenue ratio by 5%. They will probably look at you in astonishment and mumble something undistinguished about managers and the way they mess up with people’s minds.

Can you tell what is wrong with the objective above? Of course! The IT department has no idea what you were talking about and there’s nothing they can do about it – their job is to develop and maintain your computerized infrastructure, not to understand your economic speech. What you can do it setting an objective that the IT department can have an impact upon, and which will eventually lead to the increase you wanted in the first place. What about asking them to reduce expenditures for hardware and software by 10% monthly and be more cautious with the consumables within their department by not exceeding the allocated budget? They will surely understand what they need to do because the objective is relevant for their group.

Therefore, the quality of an objective to be “relevant” refers to setting appropriate objectives for a given individual or team: you need to think if they can truly do something about it or is it irrelevant for the job they perform.

5. Be TIMELY!

No much to discuss about this aspect, since it is probably the easiest to be understood and applied.

Any usable and performable objective must have a clear timeframe of when it should start and/or when it should end. Without having a timeframe specified, it is practically impossible to say if the objective is met or not.

For example, if you just say “we need to raise profit by 500000 units”, you will never be able to tell if the objective was achieved or not, one can always say “well, we’ll do it next year”. Instead, if you say “we need to raise profit by 500000 units within 6 months from now”, anyone can see in 6 months if the goal was attained or not. Without a clear, distinct timeframe, no objective is any good.

Each type of sub requires it’s own type of box. If a sub is installed in a box larger or smaller than what is supposed to, it will sound distorted/bad and could be destroyed. Boxes can be built in many shapes, but it is important that the box volume is calculated accurately to achieve maximum performance.

A box MUST be very sturdy. Most common building materials are 5/8″ or thicker particle board or medium density fiberboard. If building a box with Plexiglas, do not use anything less that 1/2 inch thick. A common material used to mold complex shaped boxes is fiberglass, but it is very hard to work with, and require several layers for a smooth finish.

Gluing, Sealing

Glue should be used at all joints to fill any spaces. Any spaces will degrade the performance of your subs, not to mention the annoying noise air makes when being pushed out of a small hole. On applying the glue, let it cure for at least 24 hours before mounting the subs. This is a precautionary measure to protect the rubbers used to make the subs from the high fumes that some manufacturers glue products have.

Holding Joints Together

In connecting box joints, it is best to screw the joints every four inches or so using 2″ – 2-1/2″ screws. Pre-drill about 3/4″ deep, so that screws do not split the wood at the edges, especially when working with particle/dashboard.

Should I have a Box for Each Sub?

It is advised to have a separate chamber for each sub. Even though not necessary, here are two reasons why such a directive should be taken: First, if one of the subs blows, then the volume of the box will be “twice” as big for the one remaining working sub. This could cause problems and even damage the other sub. The second reason is bracing. Building a box with a divider in the middle will make the box more rigid.

Ports

Ports must be built into your box design to channel out the air made by the sub’s vibrations. If a pre-made port is not available, the most common material is PVC. PVC is very rigid, comes in different diameters. Cut the tubing at the desired length. Consider the volume the port takes up when calculating the box volume. Cut a hole in the box. Make sure the hole is as perfect as possible to minimize gaps between the box and the tube. A couple wood braces can be added for screwing the port top the box. Seal the gaps using a proper sealant (Evo Stick or even silicone can be used).

Bracing

Boxes that are more than a foot in width or length or height, should be braced so that the box becomes more sturdy. This can be accomplished with a piece of wood maybe 3 or 4 inches wide across the box). It is a good idea to put wood blocks on the corners for reinforcement. Always consider that blocks, braces, neon lights, etc. inside a box take up space and should be accounted for when calculating internal volume.

Damping/Filling

Damping increases subwoofer efficiency by dissipating some energy that affects the sub, particularly the voice coil. It is advisable to put damping material inside a box. Pillow polyfill and fiberglass insulation are common, though polyfill is a lot easier on your skin. Polyfill also “tricks” a sub into thinking it is in a bigger box. Play around with different amounts of polyfill until you get the desired results.

Making it look professional

Make the box surface free from holes and spaces by adding wood fill. If you decide to paint the box, then you should apply primer first. Carpet or Vinyl padding is the best covering to use since they easily cover any outer blemishes on the box and give the box a ‘smooth’ outlook. Be careful when cutting the vinyl or carpet since such cutters tend to be very sharp. Cut a piece of carpet (or vinyl) big enough to cover the whole box. Apply adhesive to both box and carpet (EvoStick works great). Wait about a minute and place the fabric over the wood. For the best fit, stretch the fabric when applying it. The fabric should wrap around and end in a place of the box that will not be seen. Do one side at a time, cutting excess carpet. If possible, add staples preferably heavy duty staples that can penetrate the box, to hold the fabric at the ends. NOTE: Do not cover each panel of the box before mounting it together since it would be impossible to find any ‘leaks’ that may exist in the box design much less fill these leaks.
